Frequency Asked Questions for the Curriculum Review Process

Yes. Southeastern no longer uses paper curriculum change forms. All curriculum changes are processed through Modern Campus Curriculum (Curriculog). Please check with your department head for additional information or send an email to [email protected].

Yes and No. All proposals are approved at the departmental, college and university levels. However, if the change effects a graduate course or education or is part of general education or could be a SACSCOC substantive change, additional approvals are required. Using Modern Campus Curriculum (Curriculog) will route the proposal to the appropriate people for approvals based on the questions that are answered on the proposal.

Unfortunately, no. Each course is its own “record” in Workday and will therefore require a submission for each course that is being modified.

All courses are their own individual record in Workday. Therefore, a combined undergraduate/graduate course requires the submission of two curriculum proposals. Please note that the titles, credit hours and course description should be identical for these courses.

Please check with your department head and dean. The University submits an Academic Plan to the Louisiana Board of Regents each year that includes a list of new programs that the university wishes to create. If the program is on that plan, the department must submit a proposal that is approved by the University of Louisiana System as well as the Board of Regents. Once approval is received, SACSCOC may or may not have to be contacted. The department must then submit curriculum change proposals to have the new degree program added to the catalog for the next academic year. If the program is not on the approved Academic Plan, it is likely that it cannot be proposed until the next academic year. Again, consult with your department head and dean.

Curriculog can be accessed by faculty and staff at southeastern.curriculog.com, using Southeastern credentials. If you have difficulty logging in, please email [email protected].

Notifications go to people who are originators and approvers in the proposal process. If you think you are receiving notifications in error, please contact [email protected].

Yes. You can change your settings so that you get notifications related to proposals on your list less frequently or more frequently. The options are to get all emails or to get a digest daily, on Monday/Wednesday/Friday, on Tuesday/Thursday, or weekly. To change your notification settings in MC Curriculum:

  • Go to your name on the top right.
  • Select “My Settings” from the drop-down menu.
  • Click on your name on the left (“My Dashboard” will be to the right of it).
  • Scroll down to the “Email Options” dropdown menu in the “User Rights” section and select another option, such as “Weekly Email Digest”. This will send each email notifications out in a weekly digest.
  • Click the “Save Preferences” button.

In all likelihood, your proposal has made it all the way through the approval process and now has the status of Completed. When proposals are Completed, they no longer appear as active proposals on those various lists. However, you can still view them. Go to the All Proposals tab and use the “Filter by” feature to filter by Proposal Status; choosing Completed under Proposal Status will bring up a list of Completed proposals. If yours isn’t among them, please contact us so we can find out what happened to it.

Under User Tracking select “view original with edits” from the drop-down menu.

No. There is only “reject.” A “rejected” proposal is one sent back to the originator for changes and for re-submission.

In all likelihood, you haven’t selected the right item from the drop-down menu in the field “Hierarchy” This field sets the proper workflow for the proposal. Almost all course and program changes should have a department selected under Hierarchy.

You can find out where the proposal is sitting in the approval process by going into the proposal itself, clicking on the “Status” icon in the Proposal Toolbox on the right side of the proposal, and scrolling down. If you like, you can then query the person whose Status is listed as “Working.” If you can’t find your proposal at all, you can check whether it has been fully approved by going to All Proposals and using the filter to see Completed Proposals.

Anyone with Southeastern credentials can view any proposal that has been submitted, including all comments made by reviewers. Only people who are in the approval workflow can edit a proposal, and they can only do so when the proposal is at their review step.

Southeastern does not allow you to change the number, you will need to create a new course. You can use the New Course approval process to submit a course with a different number. Be sure the course number you want to switch to is available — that is, it hasn’t been active in the past. A spreadsheet of all 4-digit numbers that have been used can be found HERE. NOTE: You will also need to submit a second proposal using the Delete a Course approval process to remove the old course number from the catalog.

You can do that by completing the Delete a Course approval process. 

Southeastern does not currently reactivate courses that were previously deactivated. You will need to complete the New Course approval process. You may reuse an old title but you cannot reuse an old course number.

To make changes to an academic certificate program, please use the Request for Program Change approval process. To propose a new academic certificate program, please use the New Program approval process. As a reminder, you will need to complete a SACSCOC Substantive Change form and attach it to both of these approval processes.
