Check Out Policies
Checking Out Library Materials
Faculty must present a valid Southeastern ID to check out circulating library materials. If a faculty member is not able to be present to check out materials in person, he/she may permit students or university staff members to check out materials using his/her ID. However, in addition to the faculty member’s ID, a written request on official letterhead and signed by the faculty member stating that the student or staff member has permission to check out materials must be presented. If possible, a courtesy phone call to the Circulation Department (985-549-3968) prior to the presentation of the request and ID is also recommended.
Faculty Loan Periods
- Circulating books – 1 semester
- AV Materials- 3 weeks
- Print Reserve materials – Designated loan periods vary
- Government Documents – 3 weeks
Circulating materials, AV materials, and government documents are renewable if no other patron has put a HOLD or RECALL on the material.
Reserve materials are due according to their respective loan periods and are NOT renewable due to their high-use nature.
Family of faculty (spouses and children 16 years or older) may check out circulating library materials with a complimentary borrower’s card. The card may be obtained free of charge at the Circulation Desk. Faculty family members must adhere to rules regarding loan periods, fines, due dates, and replacement fees, as explained in the Circulation FAQs.
Book/Item Limits
Faculty may have a maximum of 100 items checked out at any time.
Each faculty family member may have a maximum of 10 items checked out at any time.
Fines
Although NO overdue fines are charged to University faculty, faculty are expected to return or renew Library materials by their due date.
Faculty will be charged a replacement fee for damaged or lost books.
Recalls, Renewals, and Returns
Items checked out to faculty or staff may be recalled by any other patron after the faculty/staff member has had the item checked out for at least 28 days (books) or 3 weeks (AV materials and government documents).
Faculty may renew materials, except for Reserve materials, at least once unless the item is overdue, on hold, has been recalled for another patron, or the ID is blocked. Materials may be renewed at the circulation desk or through the library’s catalog by logging into My Account. No telephone renewals will be accepted. All renewable library items should be brought to the Library in person with the current borrower’s valid ID.
Circulating books should be returned to the Circulation Desk or placed in the book drop outside the main entrance. Print Reserve materials and AV Materials should be returned to the Circulation Desk on the first floor.

Borrowing Materials from Other Libraries
LOUIS Reciprocal Borrowing
The Library participates in reciprocal borrowing with private and public academic libraries in Louisiana. The LOUIS Reciprocal Borrowing brochure has more information on participating libraries. Through this agreement, Southeastern faculty, staff, and students may check out materials from participating libraries by presenting a LOUIS borrowing card issued by Southeastern’s Library with their Southeastern ID card.
To apply for a LOUIS card, please visit the circulation desk.
To have a LOUIS card mailed to your home address, you may
- fax the LOUIS application to 985-549-3995,
- scan the LOUIS application and email it to [email protected], or
- mail the LOUIS application to SLU Sims Memorial Library Attn: Circulation Department, SLU 10896, Hammond, LA 70402
Interlibrary Loan
Materials can also be requested through interlibrary loan. The ILL LibGuide has detailed information on policies and system sign-up for first-time users.
Carrels
Locked carrels for the use of faculty and current graduate students are available in the library. Each carrel is equipped with a desk, chair, and electrical outlet.
The following policies and procedures have been adopted for use of these facilities.
Assignment of Carrels
Faculty and graduate students are issued carrels for one year and one semester, respectively. Renewal of carrel assignments is possible depending on demand.
At the end of the Spring semester, faculty will receive notification through the Circulation Department of the need to “renew” their reserved carrel at the same time they are notified of library materials checked out to them. Carrels may be renewed at the Circulation Desk.
It is the responsibility of the faculty member to notify the Circulation Department when the carrel is no longer needed and return the key to Physical Plant.
Use of Carrels
To ensure the safety and security of the Library and its materials, periodic checks of carrels will be conducted. Carrels should be kept neat and orderly and used for research and scholarly projects only. Carrels should not be used for storage, office, or conference space.
Use of carrels is restricted to Library hours.
Carrels have been furnished and equipped for use. No furniture is to be removed from or introduced to them, except by arrangement with Library Administration. Walls and doors must be kept free of nails, tape, and any other methods of affixing objects. Damage to any furniture or equipment and necessary repairs or replacement should be reported to the Circulation Department immediately.
Beverages in closed containers and food are permitted in the carrels. TOBACCO IN ANY FORM IS STRICTLY PROHIBITED.
Carrel holders may not sublease carrels assigned to them.
The Library assumes NO responsibility for any equipment or personal items left in the carrel.
All materials belonging to Sims Library and left in a carrel must be properly checked out to the occupant. Any items not checked out to the faculty member will be returned to the Circulation Department for reshelving. The occupant will be issued a written warning. Periodicals and Reference materials are non-circulating and must not be left in locked carrels. These items will also be removed.
Carrel holders who are in violation of any of these polices may have their carrel assignments revoked.
Library Faculty Liaison Program
Library faculty have been appointed to academic departments to serve as the contact person for all library-related matters. The library hopes that this program will encourage involvement of academic departments and individual faculty members in utilizing library resources and in obtaining new resources to support teaching and research.
If you would like to request that materials be ordered for the library’s collection or have any questions or concerns about library services or materials, please contact the library liaison appointed to your department. They will either be able to answer your question or direct your inquiry to the appropriate personnel.
